Privacy Policy

How EnginePro collects, uses, shares and protects personal and employee data across our web platform and mobile apps.

Introduction

This Privacy Policy explains how EnginePro (“EnginePro”, “we”, “us”) collects, uses, shares and protects information when you use our web platform and mobile applications (together, the “Services”). EnginePro is a human resources and workforce management platform used by employers to manage their teams.

Because EnginePro is an HR platform, we clearly process employee-related data. This policy describes what we may process and why.

Who we are

EnginePro provides HR, attendance, leave, payroll, tasks, tickets, reminders, reporting and performance tools to organisations of all sizes. In most cases, your employer or company administrator provides your account and configures which features are available to you.

Scope: web platform and mobile app

This policy applies to the EnginePro web platform and the EnginePro mobile applications for iOS and Android, including all related features and notifications. Specific features — and therefore the data processed — depend on what your employer enables.

Data we collect

We may collect the following categories of data, depending on the features your employer enables and how you use EnginePro. Not all data is collected for every user or organisation.

Account information

Name, email, phone number, employee ID, company, department and job title.

Authentication data

Login credentials, session data and access tokens used to keep you signed in securely.

Employee profile data

Address, date of birth, employment details and emergency contacts — where enabled by your employer.

Attendance data

Clock-in and clock-out times, break records, shifts, schedules and overtime — and location only if enabled by your employer.

Leave data

Leave requests, leave types, reasons, approvals and attachments if you upload them.

Payroll-related data

Payslips and salary-related records — only if enabled by your employer.

Task & ticket data

Assigned tasks, ticket content, comments and status history.

Reminder data

Reminder titles, dates, categories and statuses.

Performance data

Goals, KPIs, reviews, feedback, 1:1 meetings, notes, strengths and focus areas.

Device & technical data

Device type, operating system, app version, IP address, crash logs and diagnostics.

Notification data

Push notification tokens and your notification preferences.

Files & documents

Documents uploaded by employees or administrators.

Usage data

App activity, feature usage, audit logs and security logs.

Support data

Messages you send to support and related troubleshooting information.

Sensitive data

EnginePro may process sensitive employment-related information only when configured and provided by the employer/customer — for example, identification documents, medical leave documents or other HR records.

Where this occurs, EnginePro processes such data on behalf of the employer/customer and in accordance with the employer’s instructions. We apply additional care to this information.

How we use data

We use data to provide and operate the Services, including:

  • Providing app functionality such as attendance, leave, tasks, tickets, reminders and performance
  • Creating and managing accounts and authentication
  • Delivering notifications you or your employer have configured
  • Maintaining security, preventing fraud and abuse, and keeping audit logs
  • Diagnostics, troubleshooting and improving the Services
  • Providing customer support
  • Meeting legal and contractual obligations

Legal bases / legitimate business purposes

Where applicable law requires a legal basis for processing, we rely on one or more of the following: performance of a contract (including the contract between EnginePro and your employer), compliance with legal obligations, legitimate business interests in operating and securing the Services, and consent where required (for example, certain device permissions).

For most employee data, your employer determines the purposes and legal bases as the data controller.

Data sharing

We do not sell personal data. We may share data with: your employer/customer and its authorised administrators; third-party service providers acting on our behalf; and authorities where required by law. Any sharing is limited to what is necessary for the purposes described in this policy.

Employer/customer as controller and EnginePro as processor

For most employee data, your employer/customer acts as the data controller and EnginePro acts as a data processor, processing data on the employer’s behalf and instructions. For some limited data (such as account and operational data we determine), EnginePro may act as a controller.

If you are an employee and wish to exercise rights over employer-controlled data, we may direct your request to your employer or act on their instructions.

Third-party service providers

We use a limited set of third-party providers to operate the Services — for example, cloud hosting, email delivery, push notifications, analytics/crash reporting and customer support tools. These providers process data on our behalf under appropriate agreements. See our Subprocessors page for categories.

Mobile app permissions

Where required, the EnginePro mobile app may request the following device permissions. Many are optional or depend on your employer’s configuration, and are requested only with your permission where the platform requires it.

Camera

To upload employee profile photos, HR documents, leave attachments and task/ticket attachments — only when you choose to add them.

Photos & files

To select and upload documents or images from your device when you attach them.

Location

Only if attendance clock-in/clock-out location capture is enabled by your employer. It is not collected continuously.

Notifications

To send reminders, shift alerts, leave updates, task/ticket updates and approval notifications.

Biometrics

Only if you enable biometric unlock for secure login on your device. Biometric data remains on your device.

Internet / network access

To connect securely to the EnginePro platform.

Important: EnginePro does not collect location, camera, photos, biometrics or payroll data as an always-on activity. These are used only if enabled, if configured by your employer, and with your device permission where required.

Push notifications

If enabled, we use push notification tokens to deliver reminders, shift alerts, leave updates, task/ticket updates and approval notifications. You can manage notification preferences in the app or your device settings.

Location data (if enabled)

Location is collected only if your employer enables attendance clock-in/clock-out location capture, and only at the moments required for that feature. It is not tracked continuously, and you can manage location permission in your device settings.

Camera / photo / document upload permissions (if enabled)

If enabled, camera and file access let you upload profile photos, HR documents, leave attachments and task/ticket attachments. We access these only when you choose to add them.

App diagnostics and crash logs

To keep the Services reliable, we may collect diagnostics, performance data and crash logs, which can include device type, operating system, app version and limited technical identifiers. This helps us identify and fix issues.

Data retention

We retain data for as long as necessary to provide the Services, comply with legal obligations, resolve disputes and enforce agreements. Retention periods for employee records are often determined by your employer/customer and applicable law.

Data deletion and account deletion

You can request deletion of your account via our Account Deletion Request page, and deletion, correction, export or restriction of personal data via our Data Deletion Request page.

Because EnginePro is an HR platform, some employment records may need to be retained by your employer for legal, payroll, tax, compliance or HR obligations. Where EnginePro acts as a processor, we coordinate with your employer/customer. We aim to respond to requests within 30 days.

Your rights

Subject to applicable law, you may have rights to access, correct, delete, export or restrict processing of your personal data, and to object to certain processing. To exercise these rights, use our data request pages or contact us. Where your employer is the controller, we may direct your request to them.

Children’s privacy

The Services are intended for use by employers and their workforce and are not directed to children. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us so we can address it.

International data transfers

Your data may be processed in countries other than your own. Where we transfer personal data internationally, we take steps to ensure appropriate safeguards consistent with applicable law.

Security measures

We apply organisational and technical measures to protect data, including role-based access control, encryption of data in transit, secure cloud infrastructure, audit logging and least-privilege access. See our Security page for more detail.

Google Play Data Safety summary

Consistent with this policy, EnginePro may collect: personal info; app activity; app info and performance; device or other IDs; photos/files only if uploaded by the user; and location only if attendance location tracking is enabled. Data is used for app functionality, account management, HR workflows, security and fraud prevention, analytics and diagnostics, and customer support. Data is encrypted in transit, users may request data deletion, and data access is controlled by role-based permissions.

Apple App Privacy summary

Data linked to the user may include contact info, identifiers, user content, usage data, diagnostics, location (if enabled), and employment/workforce data processed for app functionality. Data is not used for third-party advertising unless explicitly configured and disclosed. We do not make tracking claims; tracking SDKs are used only if implemented and disclosed.

Changes to this policy

We may update this policy from time to time. We will revise the “last updated” date and, where appropriate, provide additional notice.
